At PSPINC, Some Tasks Cost More to Do In-House — Payroll Is One of Them
When you run a company, there is always one question that comes up repeatedly:
“Should we do this work internally, or should we outsource it?”
In general, I believe it is better to handle as much as possible within the company. The reason is simple: when work is done internally, we can control the quality, speed, and security ourselves.
In fact, throughout PSPINC’s 38-year history, we have avoided outsourcing many important functions such as software development and system operations. Most of our services are designed, developed, and operated by our own engineers.
However, there is one area where PSPINC decided early on that it simply did not make sense to do it internally.
That area is payroll processing.
Anyone who runs a company in the United States probably understands how complicated payroll can be. It is far more complex than simply calculating how much an employee should be paid.
Payroll requires handling many elements, including:
* Federal taxes
* State taxes
* Social Security
* Medicare
* Unemployment insurance
* Various deductions
* Adjustments for tax law changes
* Year-end tax documents such as W-2 forms

All of these must be calculated accurately, reported properly, and paid on time. On top of that, tax laws and rates change frequently.
If a company tries to handle payroll internally, several additional costs appear:
* Hiring staff with specialized knowledge
* Keeping up with constantly changing tax regulations
* Potential penalties if mistakes occur
* Maintaining payroll systems

As a result, it often turns out that outsourcing payroll to a specialized service is both less expensive and safer.
This may sound a little ironic. I am generally not a big supporter of companies that rely heavily on outsourcing.
But payroll is an exception.
In running a company, the goal is not to do everything ourselves. The real challenge is to understand the difference between work that creates value for your company and work that should be handled by specialists.
For PSPINC, the line is very clear.
Technology, services, and products are built internally.
Payroll, however, is handled by professionals.
