Clear Writing Is Clear Thinking — Especially in Business

This applies to business conversations as much as anything else — especially when you are communicating with older people like me, who do not guess what you mean.

 

When you write something, never assume the reader knows what you are talking about. Too often I read emails, Slack messages, or proposals and find myself thinking:

 

“Who is this person talking about?”
“Who exactly is ‘we’?”
If you mean yourself, say “I.”
If you mean your company, say “our company” or “PSPINC.”
If you mean your team, say “our sales team” or “the development team.”
If you mean your client, name the client.

 

Vague words create vague responsibility. When someone writes “we decided” or “we are planning,” it hides who actually made the decision and who is accountable. In business, that creates confusion, delays, and sometimes conflict.

 

Clear writing requires clear subjects.
Who is acting?
Who is deciding?
Who is responsible?

 

This is not about grammar. It is about trust and efficiency. When people know exactly who is doing what, projects move faster, mistakes are reduced, and relationships become stronger.

 

In business, clarity is respect.
